Do We Need Paper?

  • I work in the digital imaging industry and there was talk of the paperless offices being the future mostly by a competitor a few years ago.

    I develop, and deploy doc-scanning/archiving solutions from time to time, of the many hats I wear here . They really only help on the archiving what has already been put to paper, not removed the use or creation of such.  But hey if they ask for it I'll put it together.

    We have seen some paper usage drop in certain sectors, but mainly faxing; Thats is more so because of the faxing being built into most of the machines at the getgo and that now includes standard business class machines in the 35-45 ppm from most vendors.  But also included is scan to email, which more co's choose, much to the chagrin of the Email Admins (I've had enough of ...why cant my 120 meg attachement be sent to mail box), thankfully scan to desktop usually fixes that problem, these days. (its still a plebian paradigm I get myself stuck in.)  Copying and outputting is headed toward higher quality copying; including binding, folding, stapling, and colour, where monthly, annual internal documents are more likely to made in house than outsourced, for example.

    Various larger corps use the devices for surveys, marketing info, and bills; all the stuff we love to get in the mail.

    Those that adopt workflow solutions run into 'our' database related sort of hardware problems; you can delete a pdf or have a Harddrive failure but the paper is rather immune to those specific issues.

    I do not think its a net savings of time, but if the document is lost it can be worth its weight in gold I imagine.  They have there benefits and detractions.  But ask any of the vendors if its possible to just plug it in and let some peep scan til the cows come home.

    It Aint.

  • I find it interesting how many users do not understand that scanning a document is not the same as a document file. I get lots of requests to 'Please scan in this form and change the address for me.' It takes awhile to explain the difference between a picture and a document. I don't even attempt to explain OCR.
